Your shop Example

Your shop Sorry we missed your call. This is your shop. How can we help? Reply STOP to opt out.

Caller The water heater is leaking. Can someone call me back?

Your shop Thanks. We have your request and will call you back. Reply STOP to opt out.

Example message.

The workday

You're under a sink. The phone rings. Then what?

  • Calls you miss while you are on a job often go unanswered until you are back at the truck.
  • After-hours and emergency calls can ring out while you are already on another job.
  • Water heater and drain leads can sit in an inbox while you are under a sink.
  • Finished-job customers forget to leave a review unless someone asks.
  • Past customers do not hear about maintenance until something fails, and they might call whoever they find first.

What we build

Five automations, built and run for you

Each one is a workflow we set up, test with you, and then watch. The matched automation is listed first on this page.

Missed-call text back

A call to your business line goes unanswered, including while you are on a job or after hours, and the caller gets a text from your shop within about a minute asking how you can help. Your team gets an alert and a callback task.

Customer sees
A text from your shop, within about a minute, asking how you can help.
Team sees
An alert and a callback task.

New-lead follow-up

Someone fills out your website or ad form, such as a water heater or drain request, and they get an instant text and email. Your team gets a notification and a call task. Follow-ups continue until they reply or book.

Customer sees
An instant text and email after the form is submitted.
Team sees
A notification and a call task.

Review requests

A job is marked complete, and the customer gets a short text with your Google review link. One reminder if they do not respond.

Customer sees
A short text with your Google review link, plus one reminder if they do not respond.
Team sees
The request is tied to the completed job. Every completed job is included.

Appointment reminders

A job is booked, and the customer gets a confirmation, then reminders before the visit, with a reply-to-reschedule option.

Customer sees
A confirmation, then reminders before the visit, with a way to reply and reschedule.
Team sees
The reminder sequence is attached to the booked job.

Past-customer campaigns

Opted-in past customers get maintenance reminders you approve before they go out, such as a check-in or a water heater service reminder.

Customer sees
A maintenance reminder you already approved, only if they opted in.
Team sees
The campaign sits for your approval before anything is sent.

Messages are only sent to people who have consented or contacted you first, and every text includes opt-out instructions.

This is not cold outreach. It is not a fit if you want to text people who never contacted you and never did business with you.

The process

A free snapshot, then setup, then ongoing support.

The snapshot conversation is free. The follow-up automations are a separate monthly retainer. Marketing and other add-ons are optional.

  1. Free account snapshot

You talk with Retention OS. It writes a snapshot of how calls, leads and past customers reach your shop today. This conversation is free. It does not start the monthly retainer.

  2. 20-min demo call

We walk through that snapshot with you and look at how calls and leads come in today.

  3. Setup

We connect your number, forms and calendar, register your texting number with carriers (A2P 10DLC) and write the messages with you.

Carrier registration timing is set by the carriers, not by us.

  4. Testing

We run every automation on test contacts, and you approve each message.

  5. Go live and monthly tune-up

We watch delivery, replies and opt-outs and adjust monthly.

  6. Optional marketing and long-term support

After the automations are live, you can add other services and marketing. You can keep the follow-up retainer on its own. If you add them, we keep working with your shop over time.

FAQ

Questions and answers

Who is this a fit for?

Plumbing business owners with inbound calls, form leads, or a past-customer list you are allowed to message. It is not a fit if you want cold outreach to people who never contacted you and never did business with you.

What is the account snapshot?

A free conversation with Retention OS about how calls and leads reach your shop. It does not start the monthly retainer.

Do I have to add marketing?

No. The retainer covers the five follow-up automations. Additional services and marketing are optional.

Do I need new software?

You keep your phone number. The automations run on the HighLevel platform, which we set up and manage for you.

Is texting customers legal?

We only text people who called you, opted in on a form, or are existing customers you have permission to message. Every message includes STOP to opt out, and we register your number with carriers (A2P 10DLC). This is not legal advice.

Do you only ask happy customers for reviews?

No. After a job is marked complete, the review request goes to that customer. We do not filter the list by who seemed pleased with the work. Filtering out unhappy customers goes against Google's review policies and FTC rules.

What does it cost?

A monthly retainer for the five automations. See pricing and terms above.

How do I cancel?

You can cancel at any time. Cancel before your renewal date to avoid the next charge. Fees already owed remain due. See the Terms of Service.

Who writes the messages?

We draft them and you approve every one before it goes live.
